How to Manage a Small Fleet Without the Spreadsheet Chaos

Most small fleets start the same way: a spreadsheet with a few registrations and some renewal dates. It works until the fleet grows, staff change, and nobody's quite sure whether that van's CVRT is due this month or next. Here's how to run a small fleet properly without hiring a compliance manager.

The problem with spreadsheets

Spreadsheets don't remind you of anything. They rely on someone remembering to open the file and check it, they get out of date the moment a vehicle is added or sold, and a single wrong date can go unnoticed until a vehicle is stopped or fails an audit.

Build a single source of truth

Every vehicle should have one record containing its registration, make and model, vehicle type, and its three key compliance dates: Motor Tax, NCT or CVRT, and insurance. When all of this lives in one place, you can see the health of your entire fleet at a glance instead of hunting across tabs.

Track the three dates that matter most

  1. Motor Tax: required for any vehicle used in a public place
  2. NCT / CVRT: roadworthiness, depending on vehicle type
  3. Insurance: never let a vehicle operate uninsured

Set reminders you can't ignore

The single biggest upgrade over a spreadsheet is automated alerts. Instead of checking manually, you should be told by email well before anything expires. A 30-day heads-up gives you time to book a test; a 7-day alert is your last line of defence.

Keep it up to date

  • Add new vehicles the day they join the fleet
  • Update the expiry date immediately after every renewal
  • Remove vehicles when they're sold so your numbers stay accurate

Review the whole fleet weekly

A five-minute weekly review, ideally from a dashboard that colour-codes each vehicle green, amber or red, catches problems while they're still cheap to fix.

Where FleetMain fits in

FleetMain is built specifically for fleets of 1 to 50 vehicles. It stores every vehicle in one place, colour-codes compliance status, and emails you automatically at 30, 14 and 7 days before any expiry. You can bulk-import your existing spreadsheet in minutes, or let our team load the whole fleet for you for free. It's the spreadsheet system above, minus the manual work and the risk of missing a date.
